The rules for using Formsis, written to be understood.

Effective October 9, 2026 · Version 1.0

This is a translation provided for convenience. If it differs from the Spanish version, the Spanish version prevails.

1. Who we are

Formsis (“Formsis”, “we”) offers a software-as-a-service platform to build onboarding forms, receive information and documents from applicants, verify identity and manage their review and approval. These terms govern the use of the formsis.com website and the Formsis platform.

2. Definitions

  • Customer: the company or organization that subscribes to Formsis to receive and review applications.
  • User: each member of the Customer's team with access to the panel (owner, admin or reviewer).
  • Applicant: the person who fills in a form published by a Customer.
  • Customer Data: all information, documents, images and answers that the Customer, its Users or its Applicants upload to the platform.
  • Service: the Formsis platform, its features, the website and related support.

3. Acceptance

By creating an account, using the Service or filling in a form, you accept these terms and the Privacy policy. If you use Formsis on behalf of an organization, you represent that you are authorized to bind it. If the Customer signed a specific agreement with Formsis, that agreement prevails over these terms where they conflict.

4. The service

Among other features, Formsis lets you design forms with different field types, share them by link or invitation, receive documents, signatures and liveness checks, review and approve submissions in stages, manage a team with roles, customize branding and send notifications to other systems through webhooks. We may improve, change or retire features; if a change materially reduces a feature you subscribed to, we will give reasonable advance notice.

During trial stages or beta versions, the Service is provided “as is” and may have interruptions, errors or changes without notice.

5. Accounts and team

  • The Customer is responsible for who has access to its account and for the roles it assigns.
  • Each User must use their own credentials, keep their password confidential and notify us immediately if they suspect unauthorized access.
  • The Customer is responsible for actions taken from its Users' accounts.

6. Acceptable use

You may not use Formsis to:

  • collect data without a valid legal basis or without informing Applicants;
  • impersonate another person or organization, or create deceptive forms (for example, to obtain passwords or bank details for fraudulent purposes);
  • upload illegal or malicious content, or content that infringes third-party rights;
  • attempt to access other people's accounts or data, test for vulnerabilities without written authorization, or disrupt the Service;
  • resell or sublicense the Service without prior agreement;
  • unlawfully discriminate against Applicants in decision-making.

We may suspend access in response to use that breaches this section, as set out in section 15.

7. Customer Data

  • It belongs to the Customer. Customer Data belongs to the Customer. Formsis acquires no rights over it beyond what is needed to provide the Service.
  • Data protection roles. With respect to Applicants' data, the Customer is the data controller and Formsis acts as data processor, processing the data only on the Customer's instructions and to provide the Service.
  • Customer obligations. The Customer must have a legal basis to process the data it requests (for example, the Applicant's consent or a legal obligation), inform Applicants through its own privacy policy and request only the data it needs.
  • Use by Formsis. We do not sell Customer Data or use it for advertising. We may use aggregated, anonymized information about use of the Service to improve it.
  • Export. The Customer can export its submissions and documents at any time while its account is active.

8. Liveness check

  • The liveness check indicates the likelihood that a real person is in front of the camera. It is an aid for the reviewer, not a guarantee of identity or of the absence of fraud.
  • Approval and rejection decisions are always the Customer's. The Customer must not base a decision with significant effects on the Applicant solely on the automated result.
  • Biometric data is sensitive data. A Customer that enables the liveness check must obtain the Applicant's express consent, or rely on another applicable legal basis, before capture.
  • Unless otherwise stated in the Service, the Formsis liveness check does not have a formal presentation attack detection certification.

9. Applicants

If you fill in a form as an Applicant, you do so for the organization that published it, which decides on your application and is responsible for the use of your data. You must provide true information about yourself. To exercise your rights over your data, contact that organization first; if you write to us, we will help route your request.

10. Pricing and payment

Prices, plans and payment terms are set out in the commercial proposal or agreement with each Customer. Unless otherwise agreed, fees are paid in advance, are not refundable for partial periods and exclude taxes, which are added as required by applicable law. Late payment may lead to suspension of the Service after notice.

11. Availability and support

We make reasonable efforts to keep the Service available and to back up information. There may be interruptions for maintenance, which we will try to schedule at low-usage times, or for reasons beyond our control. Guaranteed service levels, if any, are agreed in the Customer's contract.

12. Intellectual property

The software, the Formsis brand, logo, design and documentation belong to Formsis or its licensors. We grant you a limited, non-exclusive, non-transferable license to use the Service for the duration of your subscription. If you send us suggestions, we may use them freely to improve the Service.

13. Confidentiality

Each party will keep confidential the non-public information it receives from the other, use it only for the purposes of this relationship and protect it with at least the same care as its own confidential information. This obligation survives termination.

14. Limitation of liability

  • Formsis is not responsible for the decisions the Customer makes about its Applicants, nor for the accuracy of the information they provide.
  • To the fullest extent permitted by law, Formsis is not liable for indirect damages, lost profits or lost opportunities.
  • Formsis's total liability to a Customer is limited to the amount paid by that Customer in the twelve months before the event giving rise to it.
  • Nothing in these terms limits the non-waivable rights the law grants to consumers or data subjects.

15. Suspension and termination

  • The Customer may end its subscription as agreed in its contract or, if there is none, with written notice.
  • Formsis may suspend or terminate access in case of a serious breach of these terms, non-payment or a security risk, giving notice where possible.
  • On termination, the Customer will have 30 days to export its data. We will then delete it from active systems, and from backups in their normal rotation cycles, unless the law requires us to keep it.

16. Changes to these terms

We may update these terms. We will publish the new version on this page with its date and, if the change is significant, notify Customers by email at least 30 days in advance. Continuing to use the Service after that date means accepting the changes.

17. Governing law and courts

These terms are governed by the laws of the Argentine Republic. Any dispute will be submitted to the ordinary commercial courts of the Autonomous City of Buenos Aires, without prejudice to the rights that Consumer Protection Law No. 24,240 grants consumers to bring claims in their place of residence.
