Full overview

All about Formsis.

For those who want to read it all: what Formsis does, how each part works, how we look after data and what comes next.

What Formsis is

Formsis is a digital onboarding platform for businesses and individuals. It replaces the back-and-forth of PDFs, emails and spreadsheets with a single flow: the organization builds its form and shares it with a link, the applicant fills it in from any device (with documents, signature and a liveness check when needed), and the team reviews it, requests corrections and approves it with full traceability.

Our motto sums it up: from form to approval.

In one sentence: Formsis is where your customers hand over their information and documents, and where your team decides whether to approve them.

Who it is for

Any organization that needs to know its customers before doing business with them:

  • Financial services: banks, credit unions, fintechs, factoring and leasing companies, brokers and insurers that run KYB (know your business) and KYC (know your customer).
  • B2B companies: onboarding of suppliers, distributors and corporate customers.
  • Real estate and rentals: applications with background information and documents.
  • Human resources: onboarding of new employees and contractors.
  • Education, healthcare and professional services: admissions, intake forms and contracts.

The full journey

  1. Build. An admin designs the form in the visual builder, or starts from a KYB or KYC template, and publishes it.
  2. Share. A public link is generated or invitations are sent by email. Applicants don't need an account: they get in with a personal magic link.
  3. Fill in. The applicant goes step by step, with autosave. They can stop halfway and pick up again from the email.
  4. Verify. If the form requires it, the liveness check runs with the camera. On a computer, a QR code lets the applicant continue on their phone.
  5. Review. The submission lands in the team's inbox. Reviewers see answers, documents and history.
  6. Correct. If something is missing, the reviewer flags specific fields. The applicant gets a link to edit only what was flagged and resubmit.
  7. Approve. The submission goes through the defined approval stages (up to five). Every decision is recorded.
  8. Connect. A signed webhook notifies your systems (CRM, core banking, ERP) of the status change.

Submission statuses: draft → submitted → in review → (corrections ↔ resubmitted) → approved or rejected.

Form builder

  • Visual drag-and-drop editor, with a preview before publishing.
  • Multi-step forms with sections, a progress bar and per-step validation.
  • For each field: label, help text, required or optional, and validations (minimums and maximums, format, file types and size).
  • Conditional logic: show or hide a field based on another field's answer.
  • Repeating groups for lists of variable length, such as partners, legal representatives or ultimate beneficial owners.
  • Versions: publishing freezes a version. Each submission is tied to the version it was filled in with, so editing a form never alters past answers.
  • Ready-to-use templates: Business onboarding (KYB) and Individual onboarding (KYC).
  • Duplicate and archive forms.

  • No accounts or passwords: a personal magic link lets applicants save and come back.
  • Autosave while typing.
  • Document uploads with preview.
  • Designed mobile first.
  • Confirmation email on submission and a notice on every status change.
  • When corrections are requested, applicants can only edit what was flagged.
  • Carries the organization's brand (logo and color), not Formsis's.

Liveness check

The liveness check confirms that whoever fills in the form is a real person in front of the camera, and not a photo, a screen or a mask.

  • In-house engine. Verification runs on a Formsis service built on OpenCV, with face detection and anti-spoofing models. Images are not sent to external biometrics providers.
  • From computer to phone. If the applicant is on a computer, they see a QR code and take the selfie with their phone; the computer receives the result automatically.
  • Result for the reviewer. The reviewer sees the result and score next to the submission. The liveness check supports the decision; approval is always made by a person.

The Formsis liveness check does not yet have a formal presentation attack detection certification (for example iBeta or ISO/IEC 30107-3). If your regulator requires one, let's talk.

Review and approval

  • Submissions inbox with filters by form, status and date, plus search.
  • Detail view of each submission with answers, documents and history.
  • Approve, reject or request corrections with per-field comments.
  • Staged approval: up to five steps (for example sales, compliance and management), with approvers assigned per step. The same person cannot sign two steps of the same submission (four-eyes principle).
  • If a submission goes back for corrections, earlier sign-offs are voided and the approval chain starts over.
  • Append-only audit log: who did what and when.
  • CSV export.

Team and roles

RoleWhat they can do
OwnerEverything, including organization settings, branding and team.
AdminCreates and edits forms, links and webhooks, and reviews submissions.
ReviewerReviews, flags and approves the submissions assigned to them.

Team invitations are sent by email. Each person sets their own password, can recover it and can see their activity. Admins can revoke access at any time.

Your own brand

Each organization uploads its logo and picks its main color. The applicant portal and emails go out with that brand. Formsis checks that the color has enough contrast for buttons to stay readable. Formsis only appears as a discreet “Powered by Formsis” in the footer.

Integrations

  • Outgoing webhooks: Formsis notifies the URL you choose every time a submission changes status.
  • Each notification is signed with HMAC-SHA256 in the FormFlow-Signature header, so your system can confirm it comes from Formsis.
  • Automatic retries with increasing back-off (up to 8 attempts) and a delivery history visible in the panel.
  • Only public https destinations are accepted, as protection against redirects into internal networks.

Security

  • All traffic is encrypted with HTTPS and HSTS.
  • Passwords stored with argon2id; sessions in secure, httpOnly cookies.
  • Applicant access links are stored only as hashes.
  • Rate limits on sign-in, password recovery and portal access.
  • Real file type checks on every upload, plus size limits.
  • Strict security headers (CSP, clickjacking protection and scoped camera permissions).
  • Role-based permissions enforced on the server, not just in the interface.
  • Database and files on our own infrastructure, never shared with third parties for their own purposes.

Details on how we handle personal data are in the Privacy policy.

Technology

Formsis is built to be fast and efficient on modest resources:

  • Go API: a single, lightweight, highly concurrent binary.
  • PostgreSQL as the database, with job queues on the same database.
  • Next.js for the web interface.
  • S3-compatible storage for documents.
  • In-house face service in Python with OpenCV.
  • Everything ships as containers, so it can also be installed in the customer's own cloud or servers.

Roadmap

What we are working on (no committed dates):

  • Matching the selfie against the photo on the identity document.
  • AI-powered data extraction from documents to prefill and cross-check fields, always with a human decision.
  • Advanced conditional logic and calculated fields.
  • Electronic signature of the contract on approval.
  • Custom domain per organization and a public API with access keys.

Frequently asked questions

Does the applicant need to create an account?

No. They get in with a personal link sent by email, which lets them save and come back.

Can I use my own forms?

Yes. The builder lets you create any form, and the KYB and KYC templates are an editable starting point.

Are liveness check photos sent to third parties?

No. Verification runs on Formsis's own face service, inside the same infrastructure.

What happens if I change a form that already has submissions?

Nothing bad: each submission stays tied to the version it was filled in with. Changes create a new version.

Can I download my data?

Yes. You can export submissions to CSV and download the documents. If you end the service, we hand over your data before deleting it.

Does it work on mobile?

Yes. The applicant portal is designed mobile first, including the liveness check.

Can it be installed in our own cloud?

Yes. Formsis ships as containers and can be installed on the customer's infrastructure.

What language is it in?

The platform is currently in Spanish, built for Latin America: local ID numbers such as DNI and RUT, local currencies and phone numbers from across the region. If you need it in English, let's talk.
